Personal information for travel is required to be provided on our standard forms that include date of birth, passport number, expiration date, emergency contact, health insurance, address, phone number and emails. All of this information including copies of passports is kept in hard copy in files and copies on our computers and through email accounts. This information is not retained on our website. We file this information and hold onto customers file for 7 years, before destroying.
This information is used to confirm hotel reservation, guiding service, entrance to National Parks in Foreign countries and other services required to manage our tours in foreign countries. At times this information is used to purchase Travel Insurance for our customers with Travel Guard.
At times customers provide credit card information via telephone in order to pay for services. The amounts charged are listed on individual invoices and the credit card numbers are masked to include the last 4 digits. All records of charges are maintained in hard copy. The electronic card charge system that used connects via an analog landline with receipts printed for our files.
Only Ramelle and Michael Pulitzer have access to these customer files held in our office in Lee, MA.
